Executive Summary: We have successfully deployed a new dynamic lead prioritization system within the New Inquiry workflows. By adjusting task urgency based on Lead Score (40+) and implementing logic to skip tasks for non-working numbers, we have already saved the Admissions team over 500 hours of manual work this cycle.

This update addresses several "technical debt" items, including a fix for leads converting via Meeting Schedulers who were not being set as "Marketing Contacts." We have also refined the "Time Between RFI" logic to ensure re-engaging leads start at the beginning of the funnel rather than skipping ahead if their last RFI was over 60 days ago.

Pro Tip: Watch the "Current Workflow Step" property. We updated this to be dynamic. If a lead skips call tasks due to a low lead score, this property will now accurately reflect their true position in the funnel rather than relying on a hard-coded static value.

Key Workflow Enhancements

  1. Lead Score Prioritization: Leads with a score under 40 now trigger a 1-hour delay between the initial RFI email and the first Admissions email. These are marked as lower priority to free up agents for hot leads.
  2. Data Hygiene & Bounces: We added a branch to check for valid emails before enrolling in the Prospecting Agent. Hard bounces (e.g., typos like "gamil.com" or "gnail.com") are now automatically excluded to protect our sender reputation.
  3. Non-Working Numbers: Communication preferences have been updated to automatically exclude phone numbers from call queues if the call outcome is set to "Non-Working Number."
  4. Survey Automation: The "Interview Complete" and "Qualified" surveys are now fully automated and live.
  5. Ghosted Emails: We are currently A/B testing new AI dynamic text tokens in the Ghosted Email sequence (Emails #1 and #8) to improve re-engagement rates.
